PowerNuvo S.L.. is currently seeking a virtual admin support position who will perform the following administrative tasks, but not limited to: General: - Available at reasonable hours to perform group meetings, and one-on-one desktop sharing meetings - Product or topic-specific online research - Product listings and pricing based on company rules - Perform online research work and derive important information on various topics related to tasks or products - Create PowerPoint presentations for suppliers, partners or clients - Manage filing systems, update records, and organize documentation - Provide customer service as the first point of contact - Perform market or Internet research - Prepare, organize, and ship proposals and meeting materials - Basic knowledge of business procedures and strategies, such as budgeting, accounting, time management, and creating marketing. plans, business plans, and contracts (could use online templates as a base). - Manage expense report - Organize folders and files based on company procedures - Develop and update administrative systems to make them more efficient - Create templates and spreadsheets for suppliers, clients or resource (contractor) - Organize managers’ calendars - Supervise billing and accounting - Manage social media accounts for brands and blogs - Address employees administrative queries - Prepare and modify documents including reports, memos, drafts, and e-mails Client-specific: - Preparing proforma invoices for clients based on their orders - Respond to client’s inquiry via email, chat, or phone call - Prepare client spreadsheets and keep online records - Communicate and coordinate with clients to provide specifications regarding the products - Provide customer service as the first point of contact Supplier specific: - Act as a “sourcing agent” and comfortably contact all current and potential suppliers mainly via e-mail (you will be provided with listings of potential suppliers and procedure to screen them) - Maintain supplier’s product listings and inventory - Manage supplier contact lists - Go through potential suppliers websites, gather data about new products, contacts suppliers, get a quote, etc. Minimum Required Skills and Qualifications: - Proven experience as a Virtual Assistant or relevant role - Proficiency in Excel (tracking data, financial breakdown, price comparatives, etc.), Word and PowerPoint - Strong administrative and organizational skills - Must be a team player who is proactive, flexible, results-oriented - Effective and professional verbal and written communication skills - Ability to multi-task - Know how to prioritize a variety of tasks based on urgency - Strong work ethics - Must be deadline-oriented - Examples of previous experience and previous deliverables - Familiarity with current technologies, like desktop sharing, cloud services, and VoIP - Must be able to communicate via phone call/zoom/desktop sharing to understand the requirements and be able to explain the work needed to be done (must be able to specify how, how often and your time zone), communicate via one on one meeting with the supervisor in a timely manner. - Must be able to demonstrate excellent time management - Knowledge of online calendars and scheduling (e.g. Google Calendar) - Must know how to proofread documents - Willingness to admit mistakes and develop skills.
