We are a US-based company operating multiple brands simultaneously — medical cannabis clinics across several states, addiction treatment services, and a real estate AI video platform. We need one reliable, long-term Virtual Assistant who can handle all three of the following without dropping any of them: professional phone outreach and client registration coordination, administrative and data operations, and social media and YouTube management. This is a full-time role, Monday through Friday, 9AM to 5PM US Eastern Time. Synchronous availability is required. We provide access to every tool. You pay for nothing. WHAT YOU WILL DO: Client Outreach & Registration — Contact US-based offices and clients by phone and email. Guide clients through registration and intake start to finish. Chase documentation relentlessly until nothing is stalled. Administrative & Data Operations — Maintain CRM records, digital files, and appointment software with zero errors. Manage a Google Workspace inbox to zero daily. Build and maintain tracking spreadsheets in Google Sheets and Excel. Social Media & YouTube — Use AI tools to draft platform-specific content daily across multiple brands. Upload and optimize YouTube videos. Own the publishing calendar across all platforms. HOW TO APPLY — DO NOT SEND A WRITTEN BID. We do not read cover letters. We do not schedule intro calls. Every candidate we are serious about must submit one thing first: a Loom screen recording (free at [login to view URL]), minimum 8 minutes, that covers all three sections below. Your face must be visible in the corner the entire time. SECTION 1 — Introduce yourself (first 90 seconds). Face on camera. Tell us your name, where you are based, how long you have been doing this kind of work, and the one tool or skill you are most proud of. Speak naturally — this is how we evaluate your spoken English. If you are not comfortable speaking on camera in clear professional English this role is not the right fit. SECTION 2 — Show us real work you have done (2–3 minutes). Screen share something you have actually built or managed — a spreadsheet, a CRM pipeline, a content calendar, a social media account, a client tracking system, anything real. Walk us through it out loud like you are showing a new coworker. Do not show us a template you downloaded. Show us your own work. SECTION 3 — Complete a live AI task on screen (4–5 minutes). While still recording, open any AI tool you use daily — ChatGPT, Claude, whatever you actually use. Complete the following task in real time: Your manager just forwarded you this message: "New client Sandra hasn't responded to either of our registration emails in 8 days. Her intake appointment is in 3 days. Her phone number is on file. Handle it." On screen, show us the prompt you write to the AI, the output it gives you, how you edit or improve it before it would go to a real client, and what your full follow-up plan looks like — email, phone script, and a one-line Slack update to your manager. Narrate every decision out loud as you make it. We want to hear you think. DO NOT BID WITHOUT YOUR LOOM LINK. Bids without a Loom video will be declined without review.
