Website workflow technical consulting 3/5

This project is not yet about the technical implementation!

I'm seeking technical consultants to provide a detailed description of their preferred solution for the workflow described below. The solution must be IN WRITING (step-by-step), and be compatible with WordPress and Elementor PRO. It must also use either ZOOM SDK or Whereby SDK, even if other video apps/complete solutions would be offered. The offered solution must include a flow with different software/apps/webhooks that solves all the steps in the attached workflow description. Pabbly is preferred.

The project will posted several times (marked "Website workflow technical consulting 3/5, 4/5, 5/5 etc"), i.e. a maximum of 5 different consecutive "winners" will be selected. The first two are already awarded. Each "project" is valid for max 3 days and a new one will be posted immediately after the previous one until we have a few solutions to compare.

This project is not about the technical implementation, but a cost and delivery time estimate must be included in the solution. If no estimates regarding the costs and/or the delivery time are included, the provider will not be considered an option in the implementation stage.

My website will function as a platform for specialized consultants/coaches in another field who offer their services online only (video meetings).

Workflow:

1. Client enters website.

2. Client can browse different sections and pages, including articles and tests.

3. Client can browse professional consultants from different parts of the world, and search with different criteria

4. Client can select a consultant and is redirected to consultant’s profile page (a subdomain on website? other solutions?).

5. Consultant’s profile page is of standard format - has different types of information of consultant, including (not excluding) picture, video greeting, name/location, education, specialities, personal text, services provided by type, time (45 mins, 90 mins) and fees, booking calendar for live video-appointments (e.g. Zoom SDK/Whereby SDK).

Site admin creates and activates all consultant profiles. Backend for each consultant is needed, but only site admin has access to consultant profile backend. Site admin must also have additional contact details to consultant, such as email, phone, Stripe account etc. Consultant profile is active only if membership fee is paid. Site admin can make individual membership fees for consultants.

6. Client selects consultant and service, makes appointment and pays with guest checkout (Stripe). Platform does not require or collect names, emails or payment details of consultant’s clients. Consultant receives e.g. the name and email (plus payment confirmation).

Reoccurring appointments with limits possible (e.g. 4-week bundles – automatic discounts if selected), this may need registering an account. First appointment “reoccurring” not possible?

7a. After a successful payment, client and consultant get automatic confirmations and receipts of payment, and a link to the live appointment with one-time password. Video session link with psw will activate 5 mins before the time of appointment (waiting room 5mins before meeting).

7b. Consultant 2-way-synced with their own, individual Google Calendar/Outlook etc for appointments

7c. Consultant is paid directly to their own Stripe account. Website bills consultant minimum XX EUR per month or Y% for each service by video-meeting, whichever makes a bigger total.

NOTE! Must be an individual Stripe account for each consultant! Platform has its own Stripe account, but clients pay their bookings directly to consultant’s Stripe accounts. The payment is “split” to a) platform commission and b) (consultant’s fee) – (platform commission). A is redirected to platform, B goes directly to consultant.

7d. Consultant automatically gets an invoice with details every month from the website for their own bookkeeping.

8. Client and consultant get automatic reminders of appointment link and psw 1 hour before video session.

9. 5 mins before the appointment, client gets an automatic reminder email with session link and psw. Then they can enter the waiting room, from which the consultant will pick the client and activate the session.

NOTE! Video appointments must be embedded on platform webpages, e.g. consultant profile page. Absolutely no installations for client! The video meeting link the client receives must be a platform page (e.g. a subdomain of the consultant in the format “[login to view URL]”)

10. Video session will start and end in due times (the pre-paid service time) .
