I am looking for someone to help me automate an administrative process using both Google Sheets and Gmail. This is the current process: 1. We receive an email with details of the order 2. We calculate a price based on the details 3. We e-mail a 3rd party with the order details and prices 4. The 3rd parts emails us with a purchase order 5. We enter all of the details on a google sheets form that our customer can access (view only) 6. We email our supplier with details of the order for manufacture 7. We raise an invoice to our customer in Xero 8. We update the spreadsheet with our Xero invoice number I'm open to suggestions if there are ways to optimize the above in a better way. Ideally I would like the process to be fully automated with no input required from ourselves. Thank you for your time and consideration.

Using Google Sheets and Apps Script, we automatically calculate a price based on the details received in the email. 3. We use Gmail API to send an email to the 3rd party with the order details and prices. 4. We use Gmail API to automatically check for a purchase order from the 3rd party, and upon receipt, extract the details and update the Google Sheets file. 5. We use Google Forms to create a form that your customer can access to input order details. The form will automatically update the Google Sheets file and trigger the next steps in the process. 6. Using Google Sheets and Apps Script, we automatically extract the details of the order for manufacture and send an email to your supplier. 7. We use Xero API to automatically raise an invoice to your customer in Xero upon completion of the order. 8. Using Google Sheets and Apps Script, we automatically update the Google Sheets file with the Xero invoice number. This process eliminates the need for manual intervention and reduces the risk of human error. Hello, I am Joshua a google sheet expert. Base on my understanding, you want to fully automate the ordering process, calculation, and order data entry process. Also your process is like this: Start > Client: Order via Email > You: Calculate order > You: email 3rd party > 3rd party: send your purchase order to Employee > You: order data entry > You: email manufacturer > You: request Invoice via Xero > You: update spreadsheet where it has the invoice End << Base on my current knowledge, you can eliminate or remove some of it. 1. Client Uses Google Form named "Request Order" - clients can request an order by submitting a form with their email. 2. Client Receives Order Number - Client will receive an email with the Order Number and Link to another Google Form 3. Client specifies order in Google Form - hence, then input the order number. 4. Google sheet's back-end will do 3 tasks. One, auto computes for the 3rd party. Two, enter the data for you. Three, email manufacturer with the order detail. 5. You request invoice via Xero 6. Update Spreadsheet where it has the invoice. In this process ordering process, calculation, and order data entry process has been removed or minimized. This is just a suggestion, I don't know the whole process so this is just an assumption. I would like to know more about your workflow, so I can better plan and limit the errors on it.
